Modification and Cancellation Policy
Cancellations must be notified by email and are subject to the following conditions:
- Until 4 December: Full refund minus €50 as administrative fee. Name changes are possible for the SAME type of registration for free.
- From 5 December 2017 until 4 January 2018 : 50% refund minus €50 as administrative fees. Name changes are possible for the SAME type of registration for free.
- After 4 January 2018: no refund. Name changes are possible for the SAME type of registration only. Each name change will be charged €50 VAT Excluded. Name changes will not be possible on-site.
- The Organising Committee cannot be held responsible for double registration or visa refusal. In these cases, cancellation policy will apply.

Visa application and invitation letter
You may need a visa to enter Belgium. Visa processing can take up to several weeks. We highly recommend you apply in advance. If you require an invitation letter for visa purposes, it will be sent to you via email upon request.
